We’re glad you’re here. Everything you just installed now lives right here in Chrome — this is your home base. We coach you through two passes the first time; after that, this is the dashboard you come back to every cycle.

How setup works — two passes

Pass 1

Walk & map

Build your approved bottle map — names, stations, sizes. No levels yet. We stay humble when speech is messy; you fix what we got wrong.

Pass 2

Count & reconcile

Count levels against that map. If everything lines up, we lock your baseline. If not, we hand you a line-by-line comparison and invite you to fix and re-upload.

Every input is a proposal. Reconciliation is the conversation until map and count agree.

Stations inside each bar: Well one, Well two, Back bar, Beer cooler, Wine cooler…
Reconcile, review, and approve the map contract
Pass 2: First live count — lock baseline or fix gaps

Better voice notes = less cleanup later

Built-in phone dictation (iPhone Notes, Android keyboard) works, but it garbles brand names, bottle sizes, and fast bar-room speech — especially on a ladder with music in the background.

Wispr Flow (iPhone/Mac) is built for this: hold a button, talk naturally, export clean text. Strong alternatives: VoiceInk (Mac, open source), Whisperboard or TypeWhisper (iPhone, on-device). Any of these beat raw phone mic for a full back-bar walk.

No special app required — but if your first upload looks rough, try one of the above before your next bar.

This program runs on your machine — no AI required

Everything you installed is self-contained. Voice walks, counts, reconciliation, spreadsheets, PAR levels, and weekly Process all run locally on this laptop. Upload your notes, fix what we got wrong, and lock your inventory — no subscription, no cloud, no API key needed.

Optional add-on

AI connection — only if you want it

The core system does not use AI. Connect a key only if you want help reading invoice photos from your phone (Southern Glazer’s, Breakthru, etc.) instead of typing line items yourself. Coming soon: wine-cooler video walks parsed from your phone.

You do not need a paid AI subscription for the program itself. Many providers (Claude, ChatGPT, Grok, and others) include API access with plans you may already have — we’re a working project and will add more free-friendly options as they emerge. Optional email updates coming for weekly release notes.

Without AI: paste invoice text, type numbers in spreadsheets, voice-walk and count as usual
With AI: snap a photo of a paper invoice → line items land in All inputs
Later: add or remove your key anytime under Settings → Optional AI

Walk the bar — build it as you go

Pass 1

What we need from you: Upload your walk notes or build the map manually here — your choice. If you upload, start each bar with Bar 1, Bar 2, Bar 3, then stations: "Well one," "Well two," "Back bar," "Beer cooler." Bottle names and sizes only — no levels yet.

English or Spanish notes: Walk and count notes may be in English or Mexican Spanish (or mixed). Station words like barra / pozo / barra trasera / nevera de cerveza and levels like lleno / vacío / medio are recognized. UI stays English in v1.5.

What happens next: We draft stations and a placement map from your notes. You review names and sizes, rename your bars at reconciliation, then continue.

What happens when you parse

Real bar walks are messy — and that's expected. Fast speech, ladder work, and phone transcription turn "Herradura Reposado 1L" into something unrecognizable. The first pass is a draft placement, not a perfect inventory list.

Bottle sizes default to 750ml until you correct them. Brand names may land on the wrong station or split into fragments. You'll fix names, sizes, and categories in the next steps — and again on the road every cycle. Upload is the starting line, not the finish.

Bottle sizes are the #1 mistake. Many liter bottles look like 750s (and vice versa). If you said "liter" or "leader" in your notes, check every row — wrong size breaks your inventory math later.

Spreadsheet workflow

Download the correction sheet (.csv opens in Excel, Numbers, or Google Sheets).
Edit product_name, station, and size. Set size_verified to yes when you're sure.
Import the saved file below — we match rows by bottle_id.

Keep the header row. Don't delete the bottle_id column.

Can't figure this out? Download the sheet and hand it to a manager. Or continue with our best guess — you'll fix it again in Step 5 Review (not ideal, but it works).

Step 6 · Pass 2 — Count

First Live Inventory Count

This count becomes your baseline for every future cycle. We block a bad baseline — reconcile surprises before you finish.

Keep pressing Upload to add more files if you missed one. We merge and parse everything together.

How to submit your count

Easiest option: Paste below, then click Process — or upload a file from your phone. Speak into iPhone Notes, Google Keep, Samsung Notes, or any app that exports .txt or .md — then transfer the file to this computer and upload.

Or paste your verbal count directly in the box. Call out the station, then each bottle with its level. Full bottles as one or 2 (or Spanish uno / lleno). Open bottles as tenths: point five, 0.5, half, or Spanish medio / vacío.

What happens when you Process

We match your dictation against the approved map from Step 5 and flag anything that doesn't line up — new bottles on the shelf, items you missed, duplicate counts. Messy speech is normal; reconcile surprises before you lock the baseline.
